Privacy Policy
Alton Risk Insurance Services LLC (“Alton Risk,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices and rights available to you. This Policy applies to information collected through our website, client portal, email and phone communications, and in the course of arranging insurance placements (collectively, the “Services”). This Policy is incorporated into, and should be read alongside, our Terms of Service.
This Policy uses “you” to refer to any of the following, as applicable: individual representatives of insurance carriers, wholesalers, and underwriting partners we work with (“Carrier Contacts”); owners, employees, and representatives of businesses that are our clients or prospective clients (“Clients”); job applicants (“Applicants”); and visitors to our website (“Visitors”).
1. Information We Collect
We collect information in the following ways: directly from you (for example, when you request a quote, complete an application, or email us); automatically through your use of our website (for example, through cookies, described in Section 6); and from third parties (for example, from insurance carriers, wholesalers, credit or claims-history reporting agencies, motor vehicle record services, or your own employer, in connection with placing or servicing a policy).
Depending on your interaction with us, the categories of information we may collect include:
- Identifiers such as name, business title, mailing address, email address, and phone number;
- Business information such as company name, industry, revenue, funding stage, cap table details, and risk exposures relevant to underwriting;
- Insurance-related information such as prior policies, loss history, claims history, and coverage terms;
- Financial information such as billing and payment details necessary to process premium payments (note: we do not store full payment card or bank account numbers on our own systems — see Section 3);
- Employment-related information you provide as a job Applicant, such as your resume, work history, and references;
- Personal information about your employees or dependents that you provide to us in connection with employee benefits or other coverage lines, where you represent that you are authorized to share it; and
- Technical and usage information collected automatically, such as IP address, browser type, device identifiers, and pages viewed on our website.
2. How We Use Your Information
We use the information described above to:
- Prepare, present, and negotiate insurance quotes, proposals, and placements on your behalf;
- Service, renew, and administer your policies, and assist with claims;
- Communicate with you, including responding to inquiries and sending policy-related notices;
- Process payments and issue invoices;
- Evaluate job applications;
- Comply with legal, regulatory, and licensing obligations applicable to insurance producers; and
- Maintain, secure, and improve our Services, including understanding how our website is used.
We do not sell your personal information, and we do not share it with third parties for their own independent marketing purposes.
3. How We Share Your Information
We share information as necessary to provide the Services, including with: insurance carriers, wholesalers, and underwriters, in order to obtain quotes and place or service coverage; claims administrators and adjusters, in connection with a claim; credit reporting agencies, loss-history databases, and similar verification services used in underwriting; service providers who support our operations (such as our client management, email, and payment-processing platforms), under confidentiality obligations consistent with this Policy; and professional advisors, auditors, or regulators, and any party to a legal proceeding, subpoena, or government request, where disclosure is required or permitted by law. If Alton Risk is involved in a merger, financing, or sale of some or all of its business, information may be transferred to the successor entity as part of that transaction.
We do not store full credit card, debit card, or bank account numbers on our own servers; where payment is required, it is processed through the carrier, a premium finance company, or a payment processor, subject to their own privacy and security practices.
4. Your Privacy Rights
Depending on where you live, you may have rights with respect to your personal information, which can include the right to request access to, correction of, or deletion of your personal information, the right to know the categories of information we have collected and shared, and the right to opt out of certain processing. This may include rights under state privacy laws in the United States (such as those in California, Colorado, Connecticut, Virginia, and other states with comprehensive privacy statutes) and, where applicable, rights under the UK and EU General Data Protection Regulation. To exercise any of these rights, contact us using the information in Section 10; we will respond consistent with applicable law and may need to verify your identity before acting on a request. We will not discriminate against you for exercising these rights.
5. Data Retention and Security
We retain personal information for as long as reasonably necessary to provide the Services, comply with legal and regulatory recordkeeping obligations applicable to insurance producers (which can require multi-year retention of client files), resolve disputes, and enforce our agreements. We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction; however, no system is completely secure, and we cannot guarantee the absolute security of information transmitted to us.
6. Cookies and Similar Technologies
Our website uses cookies and similar technologies (such as pixels and local storage) to operate core site features, remember your preferences, and understand how visitors use our site so we can improve it. Some cookies are essential to the functioning of the site; others are used for analytics purposes. You can control cookies through your browser settings, including blocking or deleting them, though doing so may affect site functionality. We do not use cookies to serve third-party advertising.
7. Children's Privacy
Our Services are directed to businesses and adults and are not intended for use by children. We do not knowingly collect personal information from individuals under the age of 18. If we learn that we have inadvertently collected such information, we will take steps to delete it.
8. Third-Party Links
Our website and communications may contain links to websites operated by insurance carriers, industry partners, or other third parties. This Policy does not apply to those third-party sites, and we encourage you to review their privacy policies before providing them with personal information.
9. Changes to This Policy
We may update this Policy from time to time to reflect changes in our practices or applicable law. We will post the updated version on our website with a revised “Last Updated” date, and where changes are material, we will provide additional notice as required by law. Your continued use of the Services after an update constitutes your acceptance of the revised Policy.
